Who does what in GROW

A short tour of the roles, of what the tool does and of how an internship runs from beginning to end. Meant to be read while you click around yourself.

The roles

Everybody looks at the same dossier, but not at the same part of it. That difference is the role.

Student

The intern. Owner of the self-assessment and of everything about their own internship in the tool.

  • Fill in the internship company and choose whether the logbook is kept in GROW or on a blog of their own.
  • Invite the company mentor by e-mail address. The student does not pick the internship supervisor: KdG assigns them.
  • Rate themselves per competence from 0 to 5, with a note per competence and a reflection on strengths and points to work on.

Not: Of the supervisor, the student only sees the feedback that is released per competence. No definitive mark is given during the final conversation. The definitive score is only settled after assessment and calibration. The results of every course unit are published through e-studentservice (ESS).

Internship mentor

The supervisor at the company. Confirms and supplements from the work floor.

  • Read the self-assessment and put a note of their own next to it, per competence.
  • Write a reflection on strengths and points to work on as the company sees them.
  • Receive a reminder when a moment is open and their input is still missing.

Not: The mentor does not rate, does not mark and does not read the student's logbook. What the supervisor writes stays hidden unless they release it.

Internship supervisor

The KdG internship supervisor. Decides the verdict on their own students.

  • Pick a level per competence and write a note that stays inside the school by default.
  • Decide per competence, separately, whether that rating and that note become visible to the student and the mentor.
  • Settle an assessment moment (the tool calls this freezing). What is settled no longer changes, and the next moment opens as a copy of it.
  • Give the mark out of 20 and the final judgement, with an internal note that never leaves the school.

Not: The dossiers of colleagues stay closed, unless access to colleagues students is switched on for that academic year.

Internship coordinator

The internship coordinator. Everything a supervisor can do, but across every internship of their own language track (NL or EN).

  • Open and correct every dossier of the year, including a colleagues.
  • Assign every student a KdG internship supervisor, one internship at a time or a whole group at once from the list.
  • Manage academic years: target dates, the number of interim moments, access to colleagues students and the final assessment document.
  • Link and synchronise the Canvas course, and edit the texts in the tool.
  • Send the start mail to students and reminders to mentors.
  • Manage the accounts of students, mentors and supervisors within their own language track.

Not: Making someone coordinator, observer or administrator, and choosing a coordinator's language track, stays with the administrator.

Programme observer

Looks across the whole programme without changing anything. Meant for, among others, educational support, the ombudsperson, the head of programme and reviewers.

  • Read every dossier of the academic year, including the rating and the mark of the supervisor.
  • Follow the progress of the whole year at a glance.

Not: This role changes nothing, it only reads. When somebody in this role does have to step in, after a complaint, a change of staff or an escalation, the administrator gives that person the internship coordinator role for the time being.

Administrator

Technical administrator. Makes sure the right people hold the right role.

  • Search users, give someone another role, add a staff member or deactivate an account.
  • Enter their own Canvas token, the one GROW reads the course lists with.
  • Everything an internship coordinator can do.

Not: Not even the administrator touches the super administrator. That one account cannot be deactivated or given another role, and nobody edits their own row.

What the tool does

Assessment moments

An internship consists of moments: one or more interim ones and a final one. Every moment keeps its own ratings and notes, so months later you still see exactly what stood there halfway.

Settling a moment

The tool calls this freezing. A settled moment is final. The next one opens as a copy of it, so the growth shows up next to what stood there before. This is what the previous tool was missing.

Gateway and core competences

Eight competences, split into gateway and core. The gateway competences have to reach level 3. If one stays below, the internship is not passed, however strong the rest is.

Releasing per competence

The rating and the note of the supervisor stay inside the school by default. The supervisor releases them per competence, separately, to the student and the mentor, and the screen says when there is nothing to release yet.

Logbook or blog

The student keeps a logbook in GROW, photos included, or links a blog of their own. That is a choice per internship.

Canvas connection

Students and teachers come out of the Canvas course of the academic year. Every administrator uses their own Canvas token for that. A synchronisation creates the missing accounts and dossiers and never takes anything away.

Invitations

A company mentor does not work at KdG and therefore does not sign in with Microsoft. They get an invitation mail with a link to choose a password themselves. That is the only way such an account comes into being.

How an internship runs from beginning to end

  1. 01

    The coordinator sets up the academic year

    Target dates, the number of interim moments and the Canvas course per language. After a synchronisation every student is in the list, with an empty dossier. The coordinator then assigns every student an internship supervisor.

  2. 02

    The student fills in the internship

    The company, logbook or blog, and inviting the mentor. The internship supervisor is already on the dossier: the coordinator assigned them.

  3. 03

    The student rates themselves

    Eight competences from 0 to 5, with a note per competence and a reflection on strengths and points to work on. That happens at several assessment moments: one or more interim moments to discuss your progress and adjust course, and a final assessment moment at the end of the internship.

  4. 04

    The mentor supplements

    From the company, next to the self-assessment. The mentor confirms or qualifies what the student wrote.

  5. 05

    The supervisor judges and settles the moment

    Their own rating and notes, released or not, and then the interim moment is settled. The next moment opens as a copy of it.

  6. 06

    The final judgement and calibration

    After the final assessment moment the supervisor forms a substantiated final judgement. The definitive score out of 20 is settled after applying the assessment logic and, where planned, calibration with other internships and supervisors. The internship coordinator locks the assessment once everything is completed.
